Cancellation & Refund Policy

Office: CerviScreen AI, a product of Shri Sitaram Shiksha Evam Paryavaran Samaj Kalyan Samiti (Registered NGO), having its registered office at 33, Lalitpur Colony, Near Shankar Chowk, Lashkar, Gwalior, Madhya Pradesh (India) - 474001 hereinafter referred to as: CerviScreen.


CerviScreen, herein referred to as “the Company”, provides AI-powered preliminary cervical cancer screening services (“Services”) used by the healthcare providers/doctor/para-medic (“Customers”) to conduct preliminary cervical cancer screening in the primary healthcare settings. The use of these Services is subject to the terms and conditions outlined in the Terms of Service and this Cancellation & Refund Policy (“Policy”).


This Policy governs the conditions for cancellations and refunds applicable to screenings conducted through the CerviScreen platform. By using the Services, the Customer acknowledges and agrees to the terms contained herein.


The Company reserves the right to modify this Policy, and any such modifications will be effective upon posting on the CerviScreen website. Continued use of the Services constitutes acceptance of the amended Policy.

1. Screening Charges

1.1. Each screening conducted by a registered medical professional (doctor/paramedic) through CerviScreen is charged at the per-screening rate agreed during Customer onboarding.

1.2. All charges are billed directly to the respective organization or healthcare provider as per the mutually signed agreement.

2. Cancellations

2.1. Cancellation of a scheduled screening must be requested within 7 days from the date of screening initiation.

2.2. Once a screening has been successfully conducted and recorded, cancellations cannot be made under any circumstances.

2.3. If a cancellation request falls within the eligible timeframe, CerviScreen will review the request and issue equivalent credits as per Clause 4 below.

3. Refund Eligibility

Refunds are applicable only under specific scenarios:

3.1. Technical errors during screening submission or report generation.

3.2. Duplicate payments resulting from billing or transaction errors.

3.3. Failed or incomplete upload of screening images/data.

4. Refund Process & Conditions

4.1. Refund requests must be submitted via email to within 7 days of the incident.

4.2. Each request must include supporting details such as payment reference number, date of screening, and a description of the issue.

4.3. All refund requests undergo internal verification and validation.

4.4. Approved refunds will not be returned to the original payment source. Instead, the equivalent amount will be credited to the Customer’s account as CerviScreen Super Credits.

4.5. Super Credits can be redeemed against future screenings.

4.6. Refund verification and Super Credit allocation will be completed within 15 business days of receiving a valid request.

5. Important Notes

5.1. CerviScreen Super Credits are non-transferable and valid only for the registered Customer account.

5.2. Credits carry a validity period of 12 months from the date of issue unless otherwise specified.

5.3. CerviScreen reserves the right to decline refund requests that are incomplete, non-compliant, or appear fraudulent.

5.4. All cancellations and refunds are subject to regulatory standards, NGO compliance obligations, and internal audit policies.

6. Dispute Resolution & Governing Law

6.1 In the event of any dispute, controversy, or claim arising out of or relating to this Policy, the Services, or any transaction under this Policy, the Parties shall first attempt to resolve the matter amicably through good faith negotiations.

6.2 If the dispute cannot be resolved within 30 days of written notice, the matter shall be referred to arbitration in accordance with the Arbitration and Conciliation Act, 1996, as amended from time to time. The arbitration shall be conducted by a sole arbitrator mutually appointed by both Parties.

6.3 The seat and venue of arbitration shall be Gwalior, Madhya Pradesh, India, and the proceedings shall be conducted in the English language.

6.4 This Policy and any dispute arising under it shall be governed by and construed in accordance with the laws of India, without regard to conflict of law principles.

6.5 Subject to the above arbitration clause, the courts at Gwalior, Madhya Pradesh shall have exclusive jurisdiction over any disputes relating to this Policy.
